What Information We Collect

Account Information

When you register for an account, we collect:

  • Username
  • Email address
  • Password (stored in encrypted/hashed form)

Character and Game Data

When you use our chronicle tools, we collect information you provide, including:

  • Character sheet data (character name, clan, attributes, skills, disciplines, merits, flaws, backgrounds, and other game-related information)
  • Downtime action submissions (text you submit describing your character's between-session activities)
  • Coterie membership and related group data
  • Experience point (XP) records and character history

Plugin Data

Our site includes several in-fiction plugins that enhance the LARP experience. When you use these plugins, we collect the content you create within them:

  • FangBook: Posts, comments, reactions, and profile information you create on the in-fiction social network
  • FangCoin: Transaction records, wallet balances, and transfer history within the in-fiction cryptocurrency system
  • Tender: Profile information, preferences, and interactions within the in-fiction dating application
  • Re:Venge: Bounty postings, contract acceptances, and related activity within the in-fiction bounty board
  • Solaris: App usage and interactions within the in-fiction phone interface
  • Moogen: Search queries entered into the in-fiction search engine. Moogen is powered by Google's Programmable Search Engine, which means your search queries are processed by Google and are subject to Google's Privacy Policy. Google may collect usage data, set cookies, and track interactions through the search engine widget.

All plugin data is fictional, in-character content created as part of the LARP experience. It does not reflect real-world identities, relationships, or activities.

Discord Data

When you link your Discord account to your Cities of Darkness account, we collect:

  • Your Discord user ID
  • Your Discord username

We use this information solely to connect your Discord identity to your site account for chronicle management and bot functionality.

Cookies

We use only essential cookies required for the site to function:

  • WordPress session cookies to keep you logged in
  • Security cookies to protect your account

We do not use analytics cookies or advertising cookies. However, Google may set cookies when you use the Moogen search feature, which is powered by Google's Programmable Search Engine. These cookies are governed by Google's Privacy Policy.

How We Use Your Information

We use the information we collect to:

  • Operate your account and authenticate your identity
  • Provide chronicle management tools (character sheets, XP tracking, coterie management, downtime processing)
  • Operate in-fiction plugins that are part of the LARP experience

We do not sell, rent, or trade your personal information to third parties. We do not use your information for advertising or marketing purposes beyond communications directly related to Cities of Darkness.

Who Can See Your Information

  • Storytellers and administrators in your chronicle can view your character sheet data, downtime submissions, and XP records as part of managing the game.
  • Other players can see your character's public in-game information (character name, clan, public-facing details) and any content you post through in-fiction plugins like FangBook.
  • Your account information (email, password) is not visible to other users or Storytellers.

How We Store and Protect Your Information

Your data is stored on secured servers. Passwords are hashed and never stored in plain text. We take reasonable measures to protect your information from unauthorized access, alteration, or destruction. However, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.

How Long We Keep Your Information

We retain your information for as long as your account is active. If you request account deletion, we will delete your personal information within 30 days, except where we are required to retain it for legal or operational purposes (such as maintaining chronicle records for game continuity).

Character data associated with active chronicles may be retained in anonymized form for chronicle history and continuity purposes after account deletion.

  • Access the personal information we hold about you
  • Correct inaccurate information on your account
  • Request deletion of your account and associated personal data
  • Request a copy of your data in a portable format

Children's Privacy

Cities of Darkness is an 18+ community. We do not allow players under the age of 18 to participate in our chronicles, and we do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has created an account, please contact us and we will delete the account and associated data.

Third-Party Services

Our site is hosted on WordPress and uses standard WordPress infrastructure.

Google Programmable Search Engine: The Moogen feature uses Google's Programmable Search Engine to provide search functionality. When you use Moogen, your search queries are sent to Google for processing. Google may collect data about your searches and set cookies in accordance with Google's Privacy Policy.

Discord: The Cities of Darkness Discord bot operates within Discord's platform. When you link your Discord account, your Discord user ID is shared between Discord and our site. Your use of Discord is subject to Discord's Privacy Policy.

We may update this privacy policy from time to time. When we make changes, we will update the "Last Updated" date at the top of this page. Continued use of the site after changes are posted constitutes acceptance of the updated policy.
